NotebookLM’s secret transcription superpower
If you’ve attended one of my recent AI classes, you’ve heard me talk about NotebookLM as one of the safest and most powerful AI tools around. In fact, soon I’ll be hosting a free webinar on how real estate professionals can use it to work safer and smarter every day.
While preparing for that webinar, I stumbled onto one feature I didn’t expect.
NotebookLM has a secret transcription trick.
And the biggest surprise? For recorded audio, it’s more accurate than Otter.ai. It also can be free.
Not for live recordings, but uploads
Let’s be clear: Otter is still excellent for live meetings. If you need a bot to join Zoom, capture a meeting in real time and create notes while people are talking, Otter is built for that.
NotebookLM’s sweet spot is recorded audio: recorded client meetings or calls (with their permission), dictated notes in your car, coaching calls or property walkthroughs.
Upload your MP3 (to save space) into NotebookLM, then let it process.
Hidden transcript
To find the transcription from the audio file is not intuitive.
Wait until the audio file finishes uploading. Then click directly on the audio file’s name in the Sources panel on the left side of your screen. It will immediately open a viewer displaying the complete, auto-generated text transcript of your recording. Highlight the text, then right-click to copy and paste the full text wherever you need.
More accurate than Otter.ai
Here’s the best part: NotebookLM’s transcription accuracy, powered by Gemini Pro, is rated at about 95% or better for recorded audio, compared with Otter.ai, which runs at 85% to 90%. For real estate agents, accuracy matters.
NotebookLM processes the entire audio file contextually, allowing it to better understand real estate jargon, heavy accents, and background noise (like echo in an empty house or wind during an exterior walkthrough).
Otter does exceptionally well in a quiet conference room, but its accuracy degrades when faced with complex scenarios, crosstalk, echoing sound from a conference stage, or a speaker with a heavy accent.
Video too, but there’s a catch
Videos can be translated by simply pasting a YouTube link. But NotebookLM does not create a fresh transcript from the audio. It pulls the existing captions. If the video has captions, great. If it doesn’t, no transcript.
That’s why the best workflow is simple: upload the actual audio file.
And please don’t go to sketchy “YouTube to MP3” sites. Many are loaded with ads, malware, and security risks. Use safer built-in recording tools, such as Voice Memos on a Mac or Sound Recorder on Windows, when capturing audio you’re allowed to record.
And it’s FREE!
NotebookLM’s free version is commonly listed at up to 50 sources per notebook and 100 notebooks total, while paid versions will double or triple those limits. Otter’s free Basic plan currently allows only three lifetime audio/video file imports for transcription. Even its Pro plan lists 10 monthly audio/video imports.
That makes NotebookLM a serious money-saving option for agents who mostly need to transcribe recorded audio, not run a live meeting bot.
Transcript to chatbot
The transcription trick alone is worth every agent adding NotebookLM to their AI toolkit.
But like all documents you put into a NotebookLM folder, once the audio file is there, you can start asking it questions.
